1. Who we are

Respondifi is a product of AgileVRMS, a small team focused on practical, human-centered AI tools for relationship-driven businesses. When this policy says "we," "our," or "us," it refers to AgileVRMS as the data controller for the Respondifi service.

2. Information we collect

We collect information in three main ways:

Account details such as your name, email address, company name, and password.
Usage data such as device type, browser, and how you interact with features.
Content you connect such as meetings, voicemails, and emails you choose to process through Respondifi.

In some cases, we may also receive limited information from integrations you connect (for example, calendar metadata or email headers) so we can help you organize and follow up.

3. How AI and third-party services are used

Respondifi uses trusted infrastructure and AI providers to help process your content into summaries and drafts. These providers process data on our behalf and are bound by contractual confidentiality and security obligations.

We do not sell your data, and we do not allow third-party vendors to use your meeting or message content to train public, consumer-facing models.

4. When we share information

We may share limited information in these situations:

With vendors and subprocessors who support hosting, analytics, and customer support.
When required by law, regulation, or valid legal process.
To investigate potential abuse, security incidents, or violations of our Terms.
In connection with a business transaction such as a merger or acquisition, with appropriate safeguards.

5. Security & retention

We use industry-standard safeguards to help protect your information in transit and at rest, including encryption and access controls. No system is perfectly secure, but security is a core design principle for Respondifi.

We keep your information only as long as needed to provide the service, comply with legal obligations, or resolve disputes. When data is no longer required, we work to remove or anonymize it.

6. Your choices & rights

You may be able to:

Access and update your profile information from within the product.
Change notification and communication preferences.
Disconnect certain integrations you no longer wish to use.
Request deletion of your account and associated data, subject to limited legal exceptions.
